We take your privacy seriously. This notice explains what personal data we collect, how we use it, and your rights under the UK GDPR and the Data Protection Act 2018 (together, “Data Protection Legislation”). Terms such as Personal Data, Special Category Data, Controller, Processor, processing and Personal Data Breach have the meanings given in the legislation. Our “Data Protection Lead” oversees data protection compliance (we are not required to appoint a statutory Data Protection Officer).

You have the following rights over your Personal Data:

  • Right to rectification of inaccurate or incomplete data.

  • Right to erasure where we have no lawful reason to keep using it or where you withdraw consent (where consent is our basis).

  • Right to restrict processing in certain circumstances.

  • Right to data portability (where legally applicable).

  • Right to object to processing based on legitimate interests or for direct marketing (including profiling).

  • Rights related to automated decision-making, including profiling, where applicable.

  • Right to withdraw consent at any time where consent is our lawful basis.

How to make a request

Email info@collinshomes.co.uk with the subject line “Data Rights Request” (e.g., “Subject Access Request”). We may need to verify your identity (e.g., a copy of a passport or driving licence). We respond within one month. If requests are manifestly unfounded or excessive, we may charge a reasonable fee or refuse to act (we’ll explain why).

Who is the Data Controller?

  • When we collect your data directly for our own purposes, Collins Homes Ltd is the Controller.

  • If we receive your data from a third party for our own purposes, we are the Controller and will notify you within one month or at first contact.

  • If we receive data solely to process on another party’s instructions, that party is the Controller and we act as Processor.

  • In certain collaborations, we may act as joint Controllers; we will make this clear to you.

Lawful bases we rely on

We only process Personal Data where at least one lawful basis applies:

  • Consent (a).

  • Contract – to enter into or perform a contract with you (b).

  • Legal obligation – to comply with law, e.g., tax/AML checks (c).

  • Vital interests – to protect life (d).

  • Public task (rare for us) (e).

  • Legitimate interests – our own or a third party’s, balanced against your rights (f).

Running and improving our business; responding to enquiries; scheduling viewings/appointments; managing relationships with customers, suppliers and professional advisers; direct marketing to existing/prospective customers; network and information security; preventing fraud and misuse of our services. The data we collect

Depending on your interactions with us, we may collect:

  • Identity Data: name, title, date of birth, identifiers.

  • Contact Data: address, email, telephone.

  • Transaction Data: details of services provided, payments, invoices.

  • Financial Data: bank details (where relevant to payments).

  • Usage/Technical Data: IP address, device/browser type, pages viewed, interaction data, referrers.

  • Profile/Preference Data: enquiries, interests, feedback, survey responses, marketing preferences.

  • Communications Data: emails, web forms, phone recordings (if used), notes of conversations.

  • Verification/Compliance Data: ID documents and checks where legally required (e.g., AML/KYC).

We do not intentionally collect Special Category Data or criminal conviction data unless the law requires it or you provide it to us (and then only with appropriate safeguards).

Where retention is shown as a typical period, we may keep data longer if required for legal, regulatory or dispute-resolution reasons, and will minimise what we retain.

Where do we get your data?

  • Directly from you (in person, phone, email, web forms, social media).

  • From referrers or professional advisers (with a lawful basis).

  • From publicly available sources (e.g., Companies House, Land Registry).

  • From our service providers (e.g., analytics) where you have interacted with our services.

Cookies and similar technologies

We use cookies and similar tools to make our website work, keep it secure, measure performance and (where consented) personalise marketing. Do we share your data?

We share Personal Data only as needed and with appropriate safeguards:

  • Payment and banking providers (for payments we receive or make).

  • Operational partners/suppliers engaged in delivering our services (e.g., contractors or surveyors, if relevant to your matter).

  • Marketing & advertising platforms (only where lawful and subject to your preferences/consent where required).

We do not sell your Personal Data.

International transfers

Some providers may be located outside the UK (or store data in multiple regions). Where we transfer data internationally, we rely on adequacy regulations, UK International Data Transfer Agreements (IDTAs) or the UK Addendum to the EU Standard Contractual Clauses, plus additional safeguards where appropriate.

Refusing to provide data

If you do not provide the information we need to enter into or perform a contract, we may be unable to provide our services. Where we must collect data by law (e.g., identity/AML checks), we may not be able to proceed without it.

Profiling and automated decision-making

We do not carry out automated decision-making that produces legal or similarly significant effects. We may use basic segmentation to tailor marketing (you can opt out at any time).

How we keep your data secure

We use technical and organisational measures appropriate to the risk, including access controls, encryption where appropriate, staff training and supplier due diligence.
